Position Announcement:  Alliance for the Chesapeake Bay–Local Government Programs Administrative Assistant, Part-Time, Annapolis, Maryland

The Alliance for the Chesapeake Bay, a regional non-profit organization based in Annapolis, Maryland, seeks a highly motivated, well-organized, energetic person with strong work ethic and office administration skills to join our Local Government Programs team.

Job Description:
The Local Government Program Assistant provides administrative support for the Local Government Advisory Committee to the Chesapeake Executive Council (LGAC) under the direct supervision of the Director of Local Government Programs.  The 20-hour per week position is located in the Alliance’s Annapolis, MD Office.

Primary duties of the position include:

  • Administrative Support
    • Maintain databases, including member rosters, Interested Parties list
    • Update and maintain LGAC content on Chesapeakebay.net website
    • Prepare communication (emails, meeting notices, meeting minutes)
    • Maintain meeting attendance and Member affiliations
    • Arrange lodging
    • Schedule and participate in Team check-ins
  • Quarterly LGAC Meetings
    • Secure lodging and meeting facilities in accordance with the EPA and Alliance’s procurement
      Guidelines
    • Coordinate hotel banquet and event orders
    • Manage RSVPs for quarterly meetings, and other meetings as needed
    • Prepare meeting packets
    • Update the webpage with meeting details and briefing materials
    • Write minutes of each meeting
  • Clerical and Financial Administration
    • Create and maintain templates as needed
    • Process LGAC member reimbursement requests
    • Order supplies, as needed, in accordance with Alliance procurement guidelines
    • Review and process invoices for payment
  • Additional tasks to enhance the Local Government Team’s role in the Chesapeake Bay Program as needed 

Expertise and Skills Required for the position:

  • Outstanding interpersonal skills and positive attitude
  • Good writing abilities and verbal communication skills
  • Strong organizational skills, ability to juggle multiple tasks, and follow through
  • Ability to take initiative and work independently, but also function as a member of a team
  • General knowledge and interest of issues facing the Chesapeake Bay and its restoration
  • Ability to articulate the mission and values of the Alliance
  • Excellent computer skills are necessary: Word, Excel, PowerPoint, Google Documents and Forms, Survey Monkey, Doodle Poll Scheduling
  • Creative problem solving and ability to work independently 

Qualifications:
The Program Assistant must have at least 5 years of administrative experience preferably in a related field (business,non-profit, or public administration).  Previous experience working in local government or professional meeting planning is preferred.

Travel Required:
The position is located at the Alliance office in Annapolis, MD. Limited travel within the Chesapeake Bay watershed is required.

Salary:

part-time (20 hours/week), $21,500 commensurate with experience
