The Chesapeake Bay Foundation seeks a Recruitment Coordinator to be based at its Philip Merrill Environmental Center headquarters located in Annapolis, MD.
THE CHESAPEAKE BAY FOUNDATION
Established in 1967, the Chesapeake Bay Foundation (CBF) is the largest regional nonprofit conservation organization dedicated to saving the Chesapeake Bay, its rivers and streams, and the wildlife that call it home through education, advocacy, litigation, and restoration. Since 2010, CBF has engaged in a focused effort to defend and implement the Chesapeake Clean Water Blueprint, a binding federal and state collaborative agreement aimed at reducing pollution to the science-based, legally-affirmed levels established by the U.S. Environmental Protection Agency (EPA). The Blueprint is expected to be fully implemented by 2025. If the states and the federal government achieve Blueprint goals, the Bay will finally—after decades of failed efforts—be removed from the Clean Water Act’s impaired waters list. Successfully implementing the Blueprint depends on a well-informed, engaged, active, and diverse constituency of members, advocates, and volunteers who speak up and take action to save the Bay.
CBF has a staff of approximately 190 employees working in offices in Annapolis, Maryland; Richmond and Virginia Beach, Virginia; Harrisburg, Pennsylvania; and Washington, D.C. as well as 15 field education program locations. Our staff and volunteer corps work throughout the region educating students and adults, advocating for clean water policies, restoring waterways, and litigating when necessary.
CBF’s headquarters office in Annapolis, Maryland is the Philip Merrill Environmental Center, the world’s first U.S. Green Build Council’s LEED platinum building. In 2014, CBF opened the Brock Environmental Center—one of the world’s most energy efficient, environmentally smart buildings—in Virginia Beach, Virginia.

CONTEXT OF THE POSITION
The HR Recruitment Coordinator is responsible for the full-life cycle CBF recruitment and onboarding process including interviewing & hiring policies, procedures and protocols. Ensures that internal employment procedures are properly maintained and communicated to staff. Position requires an extremely perceptive person who is capable of relating to individuals at all levels within the organization, is sensitive to employee goodwill and the business needs of the organization and is a critical thinker in order to identify and implement successful recruitment strategies specific to each open position.
Salary: Base salary starts at $45,000 but is negotiable.
Essential functions include:
1. General Recruitment
a. Assists supervisors with approval paperwork, postings, resume review, interviewing, reference & background checks and coordinating offers to candidates.
b. Identifies traditional and non-traditional recruitment methods to identify and attract quality candidates in line with budgets.
c. Oversees the CBF Employment Inbox and Applicant Tracking System and completes all candidate communications in a timely manner (requests, inquiries and follow up/status update e-mails). Works to understand all parts of the ATS and suggest improvements and upgrades to processes to make recruitment more efficient.
d. Updates the recruitment and hiring pages of the CBF internal internet site- The Port.
e. Ensures all staff hiring and personnel paperwork is processed timely and accurately in conjunction with the bi-weekly payroll process.
f. Works to train and educate managers on CBF’s internal recruitment procedures & interviewing techniques with the goal of reducing turnover and managing efficiencies.
g. Maintains electronic personnel files, internal systems for tracking positions, diversity metrics, new hires, and separation dates.
h. Assists the Diversity Asst. Manager in keeping CBF’s diversity goals at the forefront of CBF’s recruitment process.
2. CBF Internship Program.
a. Initiates and maintains relationships with colleges and universities to identify opportunities for employer partnerships and job fairs, to increase CBF’s visibility to potential intern candidates.
b. Places an emphasis on developing and maintaining relationships with HBCU’s and explores new ways to connect with them.
c. Assists supervisors with identifying internship opportunities, hiring paperwork, postings, resume review, interviews, and onboarding interns.
d. Conducts a New Intern Orientation and mid & end of internship check-ins.
3. On Boarding and Exit Interviews
a. Coordinates the onboarding of new hires through an orientation and mentorship program.
b. Oversees all processes and procedures with exit interviews and separating staff from the organization.
a. Creates and sends out monthly anniversary letters.
b. Assists with annual staff longevity awards.
c. Creates and edits all HR hiring and personnel forms.
d. Completes unemployment requests for separation information.
e. Maintains HR Social Media sites (Facebook & LinkedIn) and seek ways to better engage to public on future job opportunities.
f. Maintains compliance postings & filing
g. Reconciles HR credit card reports
5. Other duties as assigned
• Work to ensure that systems, organizational culture, and practices are aligned with CBF’s mission, values and commitments related to DEIJ.
• Develop and refine programs and activities to ensure equitable practices and support the development of a diverse and effective team.
• Ensure an inclusive working environments that supports diverse populations.
PREFERRED PROFESSIONAL EXPERIENCE AND QUALIFICATIONS
1. Bachelor’s Degree preferred and 1-3 years’ experience in an HR /Recruiter role.
2. Experience with an Applicant Tracking System, HRIS and Payroll systems.
3. Ability to complete full life cycle recruitment activities.
4. Knowledge and understanding of recruitment and candidate metrics and assessment tools.
5. Possess an understanding of State and Federal laws regarding employment practices.
6. Ability to be trusted with sensitive and highly confidential information.
• Ability to communicate effectively with people from diverse backgrounds and experiences. Ability to receive and give supportive feedback to foster equity and inclusion in working relationships.
• Ability to recognize, nurture, and learn from strengths in co-workers.
• Having flexibility to accomplish job responsibilities in several work environments, whether it be from home, on the road, or in an office.
