The Chesapeake Conservancy seeks an experienced Executive Assistant to serve as the key support staff person to the President & CEO.  This position is responsible for all day-to-day operations for the President & CEO which include scheduling, correspondence, and meeting support.  This position will also provide administrative support for the management team, as needed.

Essential Functions

  1. Develops processes and procedures to create an efficient and effective office for the President & CEO
  2. Manages the President & CEO’s inbox and calendar
  3. Drafts and sends correspondence with guidance from the President & CEO
  4. Schedules meetings for President & CEO with internal and external stakeholders, such as Board members, donors, and partners
  5. Arranges travel for President & CEO and assists with completing relevant expense reports
  6. Coordinates materials needed for meetings and presentations with President & CEO and other staff members
  7. Maintains office communications files, both online and hard copy
  8. Operates as the primary external contact for the front desk – provides reception duties, answers the main phone line, receives incoming mail and disseminates it to the appropriate staff person, and responds to inquiries on behalf of the Conservancy.
  9. Compiles and disseminates weekly calendar of staff’s external and noteworthy events.
  10. Provides administrative support for management team members – assists with general filing, keeps common area spaces neat and organized, manages office supply inventory and places orders when needed
Requirements

The Executive Assistant should possess a positive attitude, be organized, dependable, and goal oriented with a passion for the mission of the Chesapeake Conservancy.  Candidates must be able to thrive independently, as well as on a team, operating in a fast paced office environment.  Creative thinking, attention to detail, the ability to successfully handle multiple responsibilities at once, and excellent written and oral communication skills are a must.  A bachelor’s degree and/or a minimum of three to five years of administrative office experience is required.  Candidates must be proficient at programs such as Microsoft Word, Excel, and Power Point, G Suite applications such as Gmail and Calendar, as well as Adobe Acrobat.  A working knowledge of programs such as Slack, Tallie, Donor Perfect, and Paylocity are a plus.
