Job Description

Chesapeake Legal Alliance (CLA)is a nonprofit environmental law center located in Annapolis, MD. We are seeking a highly motivated, detail-oriented Administrator and Business Manager to handle day-to-day business operations as well as provide critical office support to the Executive Director, CLA Board and staff. This is a new position which will serve as a key member of our team, reporting to the Executive Director, David Reed.

Your Responsibilities

General Office Administration (40%)

  • Office oversight, including answering phones and email, referring potential clients to staff attorneys for intake, handling mail, and providing other administrative support to CLA team members.
  • Coordinate CLA meetings, conferences and events.
  • Litigation scheduling: Oversee scheduling using assignment and case deadline software for programs, and provide timely updates to staff.

Business Management (30%)

You will enhance CLA’s effectiveness by overseeing the day-to-day business operations. These duties include:

  • Systems: Create/improve operational management systems, processes and best practices; create/improve standard operating procedures (SOP).
  • Finance:
    1. Budgeting: Work with Executive Directors to develop and manage the annual budget & forecasts.
    2. Bookkeeping: track and code income and expenses & provide to external accountant on a monthly basis.
    3. Reporting: Examine financial data and run financial reports for executive staff.
  • Human Resources: Manage the administrative aspects of Human Resources (eg. new employee forms; track PTO, assist Executive Director with payroll duties).
  • Administration/Compliance: Help the organization remain legally compliant with corporate and nonprofit requirements (eg. state & federal tax filings, non-profit registrations/permits/licenses, insurance renewals).

Fundraising Support (20%)

With the guidance of the Development Coordinator:

  • Maintain and update Constituent information database
    • Donation entry and acknowledgement.
    • Grant support.
  • Provide administrative assistance to Development Coordinator for reports, fundraising/outreach mailings, communications/marketing, events.

Board Support (10%)

Support CLA’s Executive Directors and Board Officers with Board-related administrative needs. These duties include:

  • Collect and distribute documents for Board meetings; ensure CLA files are updated.
  • Take meeting minutes.
  • Scheduling (as needed).
  • Plan & execute Board retreat.

Required Qualifications

  • At least 3-5 years of prior experience in administration/business management.
  • Excellent analytical, critical thinking, and problem-solving abilities.
    • Knowledge of organizational effectiveness and operations management
    • Experience developing and implementing Standard Operating Procedures. 
  • Keen attention to detail, time management, and organizational skills.
  • Excellent oral and written communication skills.
  • Experience in budgeting and forecasting.
  • Familiarity with business and financial principles.
  • Skilled in database management and data entry.
  • Leadership ability.
  • Strong goal-setting and planning skills.
  • Experience with a variety of personalities and backgrounds in the workplace.
  • Desire to become part of a dynamic, flexible, innovative team.

Location: Annapolis, MD. CLA staff maintain a flexible in-office schedule (1-2 days per week).

The health of the Chesapeake Bay has a huge impact on residents’ quality of life, physical health, food supply and economy. Efforts to clean up the Bay began over 40 years ago.
