Chesapeake Conservancy is a non-profit organization based in Annapolis, Maryland, dedicated to ensuring a healthier Chesapeake Bay watershed where fish and wildlife thrive, with healthy waters and abundant forests, wetlands, shorelines, and open spaces. With a human population in the Chesapeake watershed of 18 million and tens of thousands of acres of open space vanishing each year, the Conservancy works to connect people with the Chesapeake’s wildlife and history; conserve landscapes and rivers; and restore the region’s natural resources.

PRIMARY RESPONSIBILITY:

The Executive Assistant provides administration support for the leadership team. This full-time position reports to theVice President of Operations but will also receive direction from the VP of Development and CEO to provide administrative support. This detail-oriented individual handles confidential information with discretion, communicates clearly and effectively and maintains trusting relationships with all staff members.

ESSENTIAL FUNCTIONS:

Development

  • Inputs Development data into Donor Perfect or a future CRM
  • Prepare and distribute accurate donor acknowledgement letters.
  • Deposit fund raising checks
  • Other administrative duties as assigned

CEO Admin Support

  • Maintains the CEO’s Chesapeake Conservancy calendar and coordinates some incoming and outgoing scheduling and email requests.
  • Assisting CEO in other administrative tasks upon request

Office Management

  • Manages office supplies, keeping inventory of current supply levels and placing orders when needed to replenish materials.
  • Manages Skedda calendar for the office.
  • Input invoices into Bill.com

Other Duties as Assigned

REQUIRED SKILLS/ABILITIES:

  • 3-5 years of administrative experience
  • Excellent attention to detail
  • Excellent communication skills both within and outside the organization
  • Ability to maintain confidentiality

PREFERRED SKILLS/ABILITIES:

  • Proficiency in Microsoft Office Suite and/or Google Suite
  • Experience with Unanet or another enterprise resource planning tool

The Chesapeake Conservancy office operates under a hybrid remote/in-person environment with one day in the office per week required.
